Productivity tools are sold per user per month, which makes them look simple to compare and easy to underestimate. Multiply the per-seat price by your headcount, then again by twelve, and the "cheap" $8 tool is $960 a year for a ten-person team — before anyone upgrades a tier.

What actually separates two tools at the same price

Guest and viewer seats. If you collaborate with clients or contractors, whether guests are free, discounted, or billed as full seats can swing the total more than the headline rate.

The feature you need is one tier up. Version history beyond 30 days, private teamspaces, admin controls, and API access are routinely gated to the tier above the one you'd otherwise pick. Compare at the tier that includes what you need, not the entry plan.

Annual lock-in. Most of these tools advertise the annual price and charge 20-40% more month-to-month. If you're not sure the tool will stick, the monthly price is your real cost.

How to compare

Take your seat count, add expected guests, and price both tools at the tier that covers your must-have features, monthly and annual. Then sanity-check the switching cost — exporting and re-importing a workspace is rarely clean, and that friction is worth a few dollars a seat.
